Privacy and data retention

Updated October 8, 2026. This policy describes information handled through the SEEL Tri-Cities website.

Information we collect and use

Contact inquiries include your name, email address and message. Retreat applications also include your contact details, availability, commitments and personal or spiritual answers. We use this information to respond to inquiries, review applications, coordinate the retreat and share relevant SEEL program videos. Submitting a form does not automatically add you to the separate mailing list.

Share only information needed for your inquiry or application. Do not include another person’s private information, financial-account details or unnecessary medical details.

Mailing lists and your choices

SEEL maintains a separate email-address list for occasional operational announcements, invitations and event information. Staff must establish that people may be contacted before adding or importing addresses. An import does not establish consent. We keep an address while it remains relevant and authorized, review the list monthly, and remove it when requested or no longer needed.

Application follow-up and relevant retreat coordination are separate from optional mailing-list emails. You can ask to stop optional emails without losing the ability to contact SEEL or have an application reviewed. The application privacy checkbox acknowledges the notice; it does not subscribe you to a mailing list. Use Privacy requests to ask for removal or discuss your preferences.

Operational email history records staff sender details, subject, recipient count, timestamps, delivery status and provider identifiers. It does not store a full recipient list or message body. Our retention policy for this history is 12 months from the send attempt, followed by removal at the monthly review.

Who can access your information

Access is limited to authorized SEEL administrators who need the information for program administration and technical operators performing necessary maintenance. Application answers and contact messages are not publicly displayed. Administrators use individual authorized accounts and limit sharing to the information needed for their responsibilities.

Submissions are stored using Supabase. A notification copy may be sent through Resend to SEEL’s designated program inbox, whose access is limited to authorized staff. Cloudflare hosts the website and checks form traffic. These providers process information as part of those services.

Browser information and external services

Cloudflare serves the site and may process request information such as IP addresses, browser details and security events. Turnstile processes browser and device signals to check forms; see Cloudflare’s Turnstile Privacy Addendum. Administrator sign-in uses Supabase authentication cookies.

The live hosting configuration injects a Cloudflare browser performance script, which our current site security policy blocks from running. Cloudflare describes it as cookieless measurement without local-storage identifiers or fingerprinting. The protected video library connects to YouTube only when you choose to load a player. Provider security logs, delivery records and backups follow their configured retention and access arrangements; the submission retention period does not promise immediate removal of every provider-held copy. Authorized operators must review these settings and restrict access. The website does not save challenge tokens, IP addresses or browser details in application or contact records, and it does not include advertising pixels.

Error monitoring

When configured, Sentry receives technical error reports to help SEEL maintain this website. Reports retain error types and code locations. Our application removes contact and application answers, email addresses, cookies, request headers, query strings, local variables and navigation breadcrumbs before sending a report. Arbitrary error messages are replaced with a generic label because they can contain private information. We do not enable session replay, performance tracing, advertising or Sentry logs. Connecting to Sentry still involves network processing under Sentry’s privacy policy. Monitoring access is limited to authorized technical operators; use the project’s configured retention period and review access monthly.

Retention and deletion

Our retention period for contact inquiries and retreat applications is 12 months from submission. Authorized staff review records monthly and arrange permanent deletion of records older than this period, including archived submissions, notification email copies and working exports. A record can remain until the next monthly review. Archiving is an inbox organization tool; it does not delete information or restart its retention period.

Cleanup is a manual staff process. If a provider or organization backup contains a deleted record, that copy may remain until the backup expires under its configured retention cycle. Access to backups is restricted, and deletions must be reapplied if an older backup is restored.

Questions, corrections and earlier deletion

Use Contact Us to ask about your information, request a correction or request earlier deletion. Include only enough information to identify your submission. SEEL will verify the request before disclosing, changing or deleting a record; do not send a password or identity document through this form.

Our privacy request form lets you identify deletion, correction or optional email requests. Receiving a request is not confirmation that deletion has happened. Staff verify it, explain the outcome and any applicable record-handling obligation, and coordinate removal from the database, notification mailbox and working exports. Do not repeat sensitive answers in a request.
